2.4ITO may decline, suspend or cancel a School registration where the information furnished is found to be false or misleading, or where these Terms are breached.
03

School Registration and School Login

3.1For a School registering for the first time, ITO allots a School Code and School Login credentials. Intimation is sent by email and SMS to the contact details furnished by the School.
3.2The details furnished by the School on registration, whether submitted online or offline, are reviewed and updated in the School Login within 15 to 20 days. Depending on the volume of registrations, this may extend to 25 days.
3.3The School Login is for the exclusive use of the School and its authorised staff. The School is responsible for maintaining the confidentiality of the credentials and for all activity carried out through the School Login.
3.4The School must nominate a Coordinator and keep the Coordinator’s name, mobile number and email address updated in the School Login. All routine communication is directed to the Coordinator.
3.5Where the Coordinator changes, the School must update the details promptly. ITO is not responsible for any consequence arising from communication sent to a Coordinator who has since left the School.
04

Student List and Registration of Students

4.1The School shall submit the Student List in the format prescribed by ITO, within the last date published in the Exam Schedule.
4.2The Student List is processed and uploaded to the School Login within 30 days of receipt. In case of unforeseen circumstances there may be a minor delay.
4.3On successful upload of the Student List, the School is notified by email and SMS within 24 to 48 hours.
4.4The School is responsible for the accuracy and completeness of the Student List, including the spelling of each Student’s name, class, section and subjects. Certificates, results and reports are generated from the data as submitted.
4.5The School must verify the uploaded Student List in the School Login and report any discrepancy before the last date notified. Corrections requested after that date, or after results are declared, are chargeable and may not be possible.
4.6Students may be added to the Student List only until the last date published in the Exam Schedule. Names cannot be substituted after Examination Material has been dispatched.
4.7Fees paid in respect of a Student who does not appear are not refunded, adjusted or carried forward.
05

Parental Consent and Student Data

5.1The School acknowledges that the Student List comprises the personal data of children. Before submitting the Student List, the School shall obtain the verifiable consent of the Parent of each Student to the registration and to the sharing of the Student’s personal data with ITO for the purposes of conducting the examination, declaring results, and issuing certificates and awards.
5.2The School warrants that such consent has been obtained, shall maintain records of it, and shall produce those records to ITO on request.
5.3The School shall inform Parents of the purposes for which the data is shared and shall make the ITO Privacy Policy available to them on request.
5.4ITO processes the Student data in accordance with its Privacy Policy and applicable law, including the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023.
5.5Where a Parent withdraws consent or objects to the processing of their child’s data, the School shall notify ITO promptly so that effect may be given to the request.
5.6The School shall not submit the personal data of any Student whose Parent has declined participation.
5.7ITO may publish the name, class, school and photograph of award winners and rank holders in results, rankings, winner galleries, award functions, ITO’s social media channels, media coverage and promotional material. The School shall bring this to the notice of Parents at the time of obtaining consent, and shall notify ITO where a Parent objects.

Student work and submissions

5.8Where a Student submits a drawing, essay or other work as part of an examination or activity — for any class, from Nursery to Class 12 — the School shall obtain the Parent’s consent to ITO using, reproducing and displaying that work for evaluation, and in results, winner galleries, award functions, ITO’s social media channels, and print and digital promotional material.
5.9The consent under Clause 5.8 is for those purposes only and is not a transfer of ownership in the work. A Parent may object to such display by written intimation to ITO or through the School, and ITO shall give effect to the objection for future publication.
5.10The contact number and email address furnished in the Student List must be those of the Parent, and not those of the Student. The School warrants that this is the case.
5.11Where ITO is to send the Parent communications other than those necessary for conducting the examination and declaring results — including information about ITO’s programmes, plans, events and offers — the School shall obtain the Parent’s separate and specific consent for that purpose at the time of registration, and shall record it. Consent to such communications is optional and shall not be made a condition of the Student’s participation.
5.12Where a Parent has not given such consent, or subsequently withdraws it, the School shall notify ITO, and ITO shall send that Parent service communications only. Any such communications sent by ITO are subject to applicable telecom regulations governing commercial communications and customer preferences.

Contact details recorded on examination material

5.13Contact details may also reach ITO where a Student records a contact number or email address on an OMR answer sheet, attendance sheet or other examination material. Any such field shall be marked as optional and as requiring the Parent’s contact details, and the School shall instruct Students accordingly before the examination begins.
5.14Contact details so recorded are used by ITO for service communications relating to the Student’s participation, results and dispatch of certificates and awards.
5.15ITO shall not use a contact detail obtained from examination material for promotional communications unless the corresponding consent under Clause 5.11 has been obtained by the School and recorded. Where no such consent exists, the contact detail is treated as service-only.
5.16Where the School becomes aware that a contact detail recorded on examination material belongs to the Student rather than to the Parent, it shall inform ITO, and ITO shall exclude that contact detail from any promotional communication.
5.17The School shall not require a Student to record contact details as a condition of appearing in the examination.
06

Fees and Payment

6.1The examination fee per Student, and the fee for any Study Material ordered, are as set out in the fee structure published by ITO for the relevant academic year at www.indiantalent.org/olympiad-fee-structure-and-bank-details. The fee structure in force at the time of registration applies.
6.2The School shall collect the fees from Parents and remit the amount due to ITO by the last date published in the Exam Schedule. Registration is confirmed only on receipt of payment.
6.3Payment shall be made by the modes notified by ITO. The School shall quote its School Code on every remittance and share the payment reference through the School Login or with the Coordinator’s intimation.
6.4Amounts once paid are non-refundable and non-transferable to another academic year, save as expressly provided in the Refund and Cancellation Policy.
6.5All amounts are exclusive of applicable taxes unless otherwise stated. ITO shall raise invoices in accordance with applicable tax law.
07

Study Material and Delivery

7.1Printed Study Material, once ordered, takes 15 to 20 standard working days for delivery. Orders placed on a national, state or regional holiday are processed on the next working day.
7.2The School shall order Study Material keeping the Exam Schedule and the delivery period in mind. Queries regarding orders placed shortly before an examination, seeking urgent dispatch, will not be entertained.
7.3Study Material will not be supplied in soft copy where an order has been placed late, for any reason.
7.4Delivery is made to the School address recorded in the School Login. The School shall verify that address before placing an order.
7.5Where a consignment is returned undelivered on account of an incomplete or incorrect address, or non-availability of a person to receive it, re-dispatch is made only on payment of fresh logistics charges by the School.
7.6Where a delay is caused by courier or postal services, ITO cannot be held responsible.
7.7The School shall verify the contents of every consignment on receipt and report any shortage or damage to ITO within three (3) working days. Claims raised thereafter may not be entertained.
08

Examination Material and Confidentiality

8.1ITO dispatches the Examination Material to the School in advance of the examination date. The School shall confirm receipt in the manner notified.
8.2The Examination Material is strictly confidential. The School shall keep it sealed and in secure custody until the scheduled date and time of the examination.
8.3The School shall not open, copy, photograph, circulate, publish or disclose any question paper before the examination, and shall not permit any Student, Parent or third party to access it. Breach of this Clause is a material breach of these Terms.
8.4The School shall report any loss, damage, tampering or premature opening of Examination Material to ITO immediately.
8.5Question papers and OMR answer sheets remain the property of ITO at all times. Unused material shall be returned or destroyed as directed by ITO.
09

Conduct of the Examination at the School

9.1The examination shall be conducted on the date and at the time published in the Exam Schedule. The School shall not advance, postpone or reschedule an examination without ITO’s prior written approval.
9.2The School acts as the examination centre and is responsible for the proper conduct of the examination, including seating, invigilation, timekeeping and discipline.
9.3The School shall appoint an invigilator for each examination hall and shall ensure that the instructions issued by ITO are followed.
9.4The School shall ensure that Students complete the OMR answer sheets correctly, including the School Code, roll number and subject details. ITO is not responsible for a result that cannot be processed on account of an incorrectly filled OMR sheet.
9.5Where the examination material contains a field for contact details, the invigilator shall instruct Students that the field is optional and that, if completed, it is to carry the Parent’s contact details, in accordance with Clause 5.13.
9.6Where a Student fails to appear on the scheduled date, the incharge teacher shall mark the Student absent. No alternative date, additional chance or second opportunity is provided, and no refund arises.
9.7The School shall return the completed OMR answer sheets, attendance sheets and unused material to ITO within the timeline and by the method notified in the Exam Schedule or with the Examination Material.
9.8ITO is not responsible for OMR sheets lost, damaged or delayed in transit after dispatch by the School, and a result cannot be declared for a Student whose sheet is not received.
9.9ITO may depute a representative to observe the conduct of an examination at the School.
10

Malpractice

10.1The following are treated as malpractice:
a.premature opening, copying or circulation of question papers;
b.assistance given to Students during the examination by any person, including staff;
c.completion or alteration of OMR answer sheets by any person other than the Student;
d.conducting the examination on a date or at a time other than that scheduled, without approval;
e.submission of the names of students who are not genuinely studying in the class registered; and
f.any other conduct which, in ITO’s assessment, defeats the integrity of the examination.
10.2Where malpractice is established, ITO may cancel the result of the Student or Students concerned, cancel the results of the entire School, withhold certificates and awards, and suspend or terminate the School’s registration. No refund arises.
10.3ITO’s determination in respect of malpractice is final.
11

Results, Ranking and Awards

11.1Results are declared in the School Login on the dates notified by ITO. ITO does not undertake to declare results on any particular date and a delay does not give rise to any claim.
11.2Evaluation is carried out by ITO in accordance with its answer key and evaluation methodology. The result declared by ITO is final and binding.
11.3Re-evaluation, re-checking, and disclosure of answer sheets, answer keys or evaluation records are not offered, and requests in this regard will not be entertained.
11.4Ranks, awards, prizes and scholarships are governed by the criteria published by ITO for the relevant academic year. Participation does not entitle any Student or School to a rank, award or prize.
11.5ITO may withhold, revise or cancel a result, rank or award where an error is discovered or where malpractice is established, at any time.
11.6Certificates, medals, trophies and awards are dispatched to the School for distribution to Students. The School shall distribute them promptly and shall confirm receipt to ITO where requested.
12

Little Champ

12.1Little Champ is conducted for students of Nursery, Junior KG and Senior KG through schools, and is governed by these Terms.
12.2Given the age of the participants, the School shall take particular care in obtaining and recording parental consent under Clause 5 before submitting a Little Champ Student List.
12.3The activity format, duration and material for Little Champ are as notified by ITO and may differ from the Olympiad examinations for higher classes.
12.4Where a Little Champ activity involves the submission of a Student’s drawing or written work, Clause 5.8 applies. Given the age of the participants, the School shall take particular care in explaining to Parents how such work may be displayed before obtaining their consent.
13

Intellectual Property

13.1All content provided by ITO — including question papers, answer keys, Study Material, certificates, reports, the ITO name and logo — is the exclusive property of ITO or its licensors.
13.2The School shall not copy, reproduce, republish, distribute, sell or create derivative works from any such content, and shall not supply it to any coaching institute, publisher or other third party.
13.3The School may use the ITO name and logo solely to inform Parents and Students about participation in the Olympiad programme, and shall not use them in any manner suggesting endorsement, affiliation or accreditation of the School by ITO without prior written consent.
13.4ITO may reference the School’s name and display photographs of Olympiad activities conducted at the School in its results, galleries and promotional material.
14

14.1The School acts as an independent institution. Nothing in these Terms creates any partnership, joint venture, agency, franchise or employment relationship between ITO and the School, its Coordinator or its staff.
14.2The School shall not hold itself out as an agent, branch, franchisee or authorised representative of ITO, and shall not make any representation or give any warranty on ITO’s behalf.
14.3Participation in the Olympiad programme does not constitute accreditation, affiliation, ranking or recognition of the School by ITO.
15

Limitation of Liability and Indemnity

15.1ITO provides its services with reasonable care and skill. ITO is not responsible for the conduct of the examination at the School’s premises, for the safety or supervision of Students, or for any act or omission of the School’s staff.

15.4The School shall indemnify and hold harmless ITO against all claims, losses, damages, costs and expenses arising out of any breach of these Terms by the School, any breach of confidentiality in respect of Examination Material, any failure to obtain parental consent under Clause 5, or the furnishing of false or misleading information.
15.5Nothing in these Terms excludes or limits liability which cannot lawfully be excluded or limited.
16

Force Majeure

16.1Neither party is liable for any failure or delay in performance caused by an event beyond its reasonable control, including an act of God, natural disaster, epidemic or pandemic, governmental restriction or school closure, civil disturbance, strike, or failure of transport, telecommunications or courier services.
16.2Where such an event affects an examination, ITO may reschedule it and will notify the revised arrangements through the School Login. No claim for refund or compensation arises on that account.
17

Suspension and Termination

17.1ITO may suspend or terminate a School’s registration and access to the School Login with immediate effect where these Terms are breached, where malpractice is established, or where the information furnished is found to be false or misleading.
17.2Either party may discontinue participation for a future academic year by written intimation before the registration window for that year opens.
